ArtCl (Artistic Cloud Solutions) is an AI company providing Agentic ERP, computer-vision billing (SayBill), marketing AI (SMAAI), omnichannel engagement bots, AI calling and related services. For the purposes of applicable data-protection law, ArtCl is the data fiduciary / data controller of the personal data described in this policy.

3.How we use your data

- Maintain security, prevent fraud and comply with our legal obligations.

We process your personal data on the basis of: your consent (for example, when you submit an enquiry or opt in to marketing); the performance of a contract or steps taken at your request before entering into a contract; our legitimate interests in operating and improving our business; and compliance with legal obligations. 5.Sharing & disclosure
We do not sell your personal data. We may share it with:
- Service providers & processors who help us run our business — for example cloud hosting, messaging platforms (such as WhatsApp), and the AI model provider that powers Ava — under appropriate confidentiality and data-processing terms;
- Professional advisors such as auditors and lawyers, where necessary;
- Authorities when required by law, regulation, legal process, or to protect our rights and the safety of others;
- A successor entity in connection with a merger, acquisition or sale of assets.
6.AI assistant (Ava)
Our website chatbot "Ava" is an AI sales assistant. To generate replies, the messages you send to Ava may be processed by a third-party large-language-model provider on our behalf. Your API key and conversation are handled server-side. Please do not share passwords, payment details or other sensitive information in the chat. Conversations may be stored in our CRM so our team can follow up with you.
7.Data retention
We keep your personal data for as long as needed to fulfil the purposes described in this policy, to maintain our business records, and to comply with legal obligations. Lead and conversation records are retained for the duration of our relationship and a reasonable period afterwards, after which they are deleted or anonymised.
8.Security
We apply reasonable technical and organisational measures to protect your data, including access controls and authenticated, session-based access to our CRM. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
9.Your rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you;
- Request correction of inaccurate or incomplete data;
- Request deletion of your data ("right to erasure");
- Withdraw consent where processing is based on consent;
- Object to or restrict certain processing, and opt out of marketing;
- Nominate another person to exercise your rights in the event of death or incapacity, where the law provides for this.

Our website and services are intended for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, please contact us and we will delete it.
